This article explains how flight monitoring works with a pre-booked Krakow Airport transfer, what triggers the driver's timing adjustment, and when you need to contact the dispatcher directly.
An airport pickup is not the same as a city taxi. The driver cannot arrive at a fixed time and wait indefinitely. The passenger cannot guarantee they will land on schedule.
Flight delays happen for reasons outside anyone's control:
If the transfer operator does not track the flight, the driver may arrive while the aircraft is still airborne — or the passenger may land to find the vehicle has left.
Flight monitoring solves this by connecting the driver's arrival time to the aircraft's actual status, not the scheduled time.
When you book an airport transfer with IQPD, the flight number is one of the required details. This is not administrative — it is operational.
The dispatcher uses the flight number to track:
This data is checked before the driver is dispatched. If the flight is running 45 minutes late, dispatch timing is adjusted based on the updated flight status and operational conditions.
The goal is simple: the driver should arrive at the terminal at the right time — not before the passenger can reach the arrivals hall, and not after the passenger has been waiting.
Step 1 — delay detected The dispatcher sees the updated arrival time via flight tracking. No action is required from the passenger at this stage.
Step 2 — driver dispatch is adjusted The driver's departure time is updated to match the new estimated landing. This is handled internally.
Step 3 — passenger lands and collects luggage The driver is already at the terminal or en route, timed to the updated arrival. With Meet & Greet, the driver is waiting in the arrivals hall with a name board.
Step 4 — passenger exits arrivals Contact is made — either via the name board, a phone call from the driver or a message from the dispatcher. The transfer continues as booked.
Flight monitoring covers the aircraft's status. It does not cover everything that can happen inside the terminal. Contact the dispatcher if:
In these situations, the dispatcher needs information that flight tracking cannot provide. A quick message or call is enough.
Early arrivals are less common but do happen. The dispatcher monitors the flight status in both directions — delays and early arrivals.
If the aircraft lands ahead of schedule, the dispatcher is informed. Depending on driver position and terminal timing, the pickup may be adjusted. The passenger should still follow the agreed meeting instructions — proceed through baggage and head to the arrivals hall as normal.
The aircraft landing is not the same as the passenger reaching the arrivals hall. Depending on the terminal, the route and the passenger's travel document, the time between touchdown and exit can vary significantly.
Non-Schengen arrivals, large aircraft or congested baggage halls can add 20–40 minutes after the published landing time. The driver and dispatcher account for a standard buffer, but if your situation is taking longer than expected, it is worth sending a short message.
For standard monitored airport pickups, the confirmed transfer price does not change because the flight is delayed. The price is agreed at the time of booking and is not recalculated based on traffic or arrival time shifts.
If the flight is cancelled, changed to a different service or moved to another date, the booking may need to be updated — the dispatcher will clarify the details in those cases.

Will the driver wait if my flight is delayed?
Yes. IQPD adjusts the pickup timing based on the real-time flight status. If the flight is running late, dispatch timing is adjusted whenever operationally possible based on the updated arrival status.
Do I need to call if my flight is delayed?
No — not for a standard delay. If the flight number has been provided correctly, monitoring is automatic. Call or message the dispatcher if your travel plan changes (different flight, cancellation, missed connection).
What if my flight is cancelled?
Contact the dispatcher as soon as you know. The transfer will be rescheduled based on your new booking.
What if I land earlier than scheduled?
The dispatcher is informed via flight tracking. Follow the agreed meeting instructions and proceed to the arrivals hall as normal.
Does the price change if my flight is delayed?
For standard monitored airport pickups, the confirmed price does not change because the flight is delayed. If the flight is cancelled, changed to a different service or moved to another date, the booking may need to be updated.
Is flight monitoring useful for corporate bookings?
Yes — it is particularly important when the person arranging the transfer is not the one travelling. The organiser does not need to manually track the flight or update the driver.
