If you are booking transport from Krakow to Vienna, Prague, Berlin or Budapest, you need to know one thing before you compare prices: a standard taxi cannot legally take you there.
This article explains the practical and legal differences between a street taxi and a pre-booked private transfer — and why choosing the wrong option for an international route is not just inconvenient, but a compliance risk.
In Poland, taxi licences are issued by local authorities (gmina or city councils) and cover a defined operating area — typically the city or municipality in which the taxi is registered. A taxi licensed in Krakow is authorised to pick up and drop off passengers within Poland.
Crossing the Polish border is a different matter.
International passenger transport requires a separate licence category — a transport authorisation covering cross-border operations. Standard taxi operators do not hold this authorisation. If a taxi driver agrees to take you from Krakow to Vienna or Prague, they are operating outside the scope of their licence.
This creates several problems:
A licensed private transfer company — operating as a transport undertaking (przedsiębiorstwo transportowe) with the appropriate domestic and international authorisations — is legally covered for cross-border routes.
Beyond the legal issue, there are several operational differences between a street taxi and a pre-booked private transfer.
A taxi uses a meter. For a short city journey, this is predictable. For a 5-hour drive to Vienna or a 6-hour drive to Berlin, a metered price is open-ended — the final cost depends on traffic, route choices and waiting time. A private transfer provides a fixed price confirmed before the journey starts.
A taxi is hailed or booked on short notice, typically without a written confirmation. A private transfer is pre-booked: you receive written confirmation with the price, driver details, pickup instructions and contact number before the travel date.
At an airport, a taxi waits outside in a taxi rank — the passenger has to find it. A pre-booked private transfer includes a driver waiting inside the arrivals hall with a name board, monitoring the flight and adjusting for delays. These are two different service standards.
Taxis do not monitor flights. If your flight lands 40 minutes late, a taxi you called ahead may have left or you are waiting in a queue. A private transfer adjusts automatically to the actual arrival time.
Taxis issue receipts. Private transfer companies issue VAT invoices with full company details, cost centre references and billing data suitable for corporate expense reporting.
A taxi is whichever vehicle arrives. A private transfer assigns a specific vehicle category in advance — sedan, van or minibus — based on the passenger count and luggage. You know what you are getting before the journey.
International routes Any transfer crossing the Polish border — to the Czech Republic, Germany, Austria, Hungary, Slovakia or any other country — must be handled by a licensed international transport operator. This applies regardless of whether you are booking for yourself or on behalf of a company guest.
Corporate and executive transport If you are an executive assistant or travel coordinator arranging transport for a guest or executive, using an unlicensed operator creates a liability for your company. In the event of an incident, your organisation has no legal recourse against an operator working outside their authorisation.
Groups and multi-vehicle coordination Taxis cannot reliably coordinate multiple vehicles for groups arriving on different flights. A private transfer company can manage multi-vehicle assignments, consolidated invoicing and central dispatch.
Pre-arranged departure transfers For early-morning departures or time-critical travel, a pre-booked private transfer provides written confirmation and a guaranteed pickup time. A taxi booked on the day may not arrive when needed.
